Who Will Text You

By opting in to receive SMS text messages, you consent to receive messages from City Center Rentals LLC, a property management company operating in Spokane, Washington, using the RentHQ.com platform for property management and tenant communications.

What Messages Are For

We send SMS text messages for property management and tenant communications, including:

  • Rent payment reminders and payment confirmations
  • Appointment confirmations and reminders
  • Maintenance request updates
  • Important property notifications and announcements

Message Frequency

Message frequency varies based on your interaction with our services. You may receive multiple messages during active application processing, move-in/move-out periods, or maintenance events. Outside of these periods, messages are infrequent — typically 1-5 messages per month for rent reminders and property updates.

Message and data rates may apply. Check with your mobile carrier for details about your texting plan. City Center Rentals LLC does not charge any fee for receiving SMS messages.

How We Obtain Your Consent (Opt-In Methods)

We never send SMS messages without your explicit consent. We obtain consent through three methods, each described in detail below:

1. Web Form Opt-In

When tenants are invited to the RentHQ tenant portal, the account activation page includes a phone number field and an SMS consent checkbox. The tenant must:

  • Enter their phone number
  • Actively check the SMS consent checkbox (it is NOT pre-checked)
  • Review the linked SMS Consent Policy, Privacy Policy, and Terms of Service
  • Submit the form to complete activation

The consent checkbox displays the following language:

"I agree to receive SMS text messages from City Center Rentals LLC regarding rent reminders, maintenance updates, lease notifications, and other property management communications. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help."

Links to this SMS Consent Policy, our Privacy Policy, and our Terms of Service are displayed directly below the checkbox. The tenant cannot receive SMS messages unless they actively check the consent box. Consent is recorded with a timestamp in our system.

2. Paper / Written Opt-In (Lease Agreement)

Our residential lease agreements contain a dedicated SMS notification consent clause. This applies to both paper leases signed in person and digital leases signed electronically via our e-signature provider (SignWell). The clause reads:

"Tenant consents to receive SMS text messages from Landlord and its property management platform (RentHQ) at the phone number provided in this lease agreement. Messages may include rent reminders, payment confirmations, maintenance updates, lease notifications, and other communications related to the tenancy. Message frequency varies. Message and data rates may apply. Tenant may opt out at any time by replying STOP to any message or by contacting the Landlord in writing."

The tenant signs or e-signs the full lease document which includes this clause. The lease specifies the tenant's phone number. A copy of the signed lease is retained on file for the duration of the tenancy and as required by law. For e-signed leases, SignWell provides a timestamped signature certificate.

3. Verbal Opt-In

During phone conversations with prospective or current tenants, our property managers may ask if the tenant would like to receive text message updates about their rental, maintenance requests, or payment reminders. When a tenant verbally agrees, the property manager documents the following information:

  • Date and time of the phone conversation
  • Full name of the person providing consent
  • Phone number for which SMS consent was given
  • Staff member name — who obtained the consent
  • Consent scope — what types of messages the person agreed to receive (e.g., rent reminders, maintenance updates, all property communications)

During the call, the property manager verbally informs the tenant that:

  • Message frequency varies
  • Message and data rates may apply
  • They can reply STOP at any time to opt out
  • They can reply HELP for assistance

Verbal consent records are stored as notes in our property management system (RentHQ activity log) and retained for the duration of the tenancy. If a tenant later disputes consent, we can provide the documented record.

How to Opt Out

You can opt out of SMS messages at any time by:

After opting out, you will receive one final confirmation message confirming that you have been unsubscribed. You will not receive any further text messages unless you opt in again through one of the methods described above.

Your Privacy

We do not sell, rent, or share your phone number or SMS consent information with third parties for marketing purposes.
